About this notice
Your privacy is important to me. This Privacy Notice explains how I collect, use, store and protect your personal information when you contact me or access counselling with me.
I am Carmit Kaplan, trading as Carmit Kaplan Counselling & Psychotherapy. I am the data controller for the personal information I hold about you and am registered with the Information Commissioner’s Office (ICO).

Information I collect
When you contact me or begin counselling, I may collect information such as your name, contact details, date of birth, appointment and payment information and, where appropriate, GP and emergency contact details.
During our work together, I may also keep brief counselling notes and information relevant to our therapeutic work. This may include sensitive personal information that you choose to share with me.
How I use your information
I use your personal information only where necessary to provide counselling services, communicate with you, arrange and manage appointments, maintain appropriate clinical records, process payments and meet my professional, ethical and legal responsibilities.
Where I process information relating to your health or other sensitive personal information, I do so only where there is an appropriate lawful basis under data protection law.
Confidentiality and sharing information
What you share with me is treated as confidential. I will not normally share your personal information with anyone else without your consent.
There are limited circumstances in which I may need to disclose information, for example where there is a serious concern about safety, where I am required to do so by law, or where disclosure is otherwise necessary to meet my professional or legal responsibilities. Wherever possible and appropriate, I would discuss this with you first.
As part of good professional practice, I attend regular clinical supervision. I may discuss aspects of my client work in supervision, but I take care to protect your identity and confidentiality.
How your information is stored
I take reasonable steps to keep your personal information secure and to protect it from unauthorised access, loss or disclosure.
Electronic information is stored using password-protected devices and/or secure services. Any paper records are stored securely.
How long I keep your information
I retain client records only for as long as reasonably necessary for professional, ethical, insurance and legal purposes. After the relevant retention period, records are securely deleted or destroyed.
Your rights
Under UK data protection law, you have rights in relation to your personal information. Depending on the circumstances, these may include the right to access the information I hold about you, ask for inaccurate information to be corrected, request deletion or restriction of your information, and object to certain uses of your information.
If you have concerns about how I handle your personal information, please contact me in the first instance. You also have the right to raise a concern with the Information Commissioner’s Office (ICO).
